What we collect

What you tell us. When you submit the contact form we collect your name, email address, company name, and whatever you write in the message field. When you use the self-serve diagnostic chat, we collect the conversation you type. When you book and pay for an audit, we collect the business details you share on the call and in follow-up email.

Sign in with Google. If you sign into the app with Google, we receive your name, email address, profile picture, and Google account ID. That is the whole of it — see the Google user data section below.

How you got here. With a form submission we store the marketing attribution that came with your visit: UTM parameters, Google and Facebook click identifiers, the page you landed on, and the referring site. We use it to know which advertising is worth paying for.

Analytics. Like most sites, we record page views and basic events (which pages, which buttons, roughly where in the world, what kind of device) plus the IP address the request arrived from. Our IP is also used for short-term rate limiting so the forms and the chat cannot be abused.

The diagnostic call. If you book an audit, we may transcribe the call so we can write your report from what you actually said rather than from hurried notes. We will tell you at the start of the call, and we will not transcribe it if you would rather we did not.

We do not collect payment card numbers. If you pay for an audit, the payment processor handles the card and we never see the number.

Why we use it

• To reply to you, and to run the audit you booked.
• To write and deliver your report.
• To send transactional email — the report, receipts, scheduling, replies.
• To understand which pages and which advertising actually produce conversations, so we spend on the ones that do.
• To keep the site working and to stop spam and abuse.

We do not sell your information, and we do not rent or trade our contact list.

Google user data

The app uses Sign in with Google and requests only the basic sign-in scopes: your name and profile picture (userinfo.profile), your email address (userinfo.email), and your Google account ID (openid). We do not request access to Gmail, Drive, Calendar, Contacts, or any other Google service, and we cannot read them.

We use that data for exactly three things:

• Signing you in and keeping you signed into the same account.
• Matching your account to the audit we ran for your business.
• Sending you transactional email about that audit.

We do not sell Google user data. We do not use it for advertising or ad targeting. We do not transfer it to anyone other than the service providers listed below that operate this site on our behalf, and only as needed to provide or improve the app, to comply with the law, or as part of a merger or acquisition after notice to you. We do not allow humans to read it except as needed for security, to comply with the law, or with your explicit consent. We do not use it to develop, improve, or train generalized AI or machine-learning models.

southbend.tech's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

You can revoke our access at any time at myaccount.google.com/permissions.

Who we share it with

We use a small number of vendors to run the studio. Each one gets only what it needs to do its job:

• Hosting and database — the site and the lead store run on our own servers and a managed Postgres provider.
• Anthropic — powers the self-serve diagnostic chat. What you type in the chat is sent to Anthropic's API to produce the reply.
• Deepgram — transcribes the diagnostic call, when you have agreed to it being transcribed.
• PostHog and Google Analytics — product and web analytics.
• Google Ads — measures whether an ad produced a conversation.
• Forward Email — delivers the email we send you.

We will also disclose information if the law requires it, or to protect our rights or someone's safety. If the studio is ever sold or merged, records would transfer with it, and we would say so here first.

Cookies and tracking

Analytics and advertising cookies are set by PostHog, Google Analytics, and Google Ads to recognize a returning browser and attribute conversions. If you sign into the app, a session cookie keeps you signed in. You can block or clear cookies in your browser; the site still works, and the sign-in will simply ask you again.

How long we keep it

Leads, chat transcripts, and audit records are kept for as long as we are working with you and for up to three years afterward, so we can find your report when you come back and so we have the business records we need. Analytics data follows our providers' standard retention. Ask us to delete something sooner and we will.

Your choices

• See it. Email us and we will tell you what we hold about you.
• Correct it. Tell us what is wrong and we will fix it.
• Delete it. Email us and we will delete it within 30 days, except records we are required to keep for tax or accounting.
• Stop the email. Every non-transactional message has an unsubscribe link, or just reply and say stop.

Security

Traffic to this site is encrypted in transit. Access to the lead store and the audit records is limited to the people running the studio. No system is perfectly secure, and we will not pretend otherwise — but we keep the amount of data we hold deliberately small, which is the most useful protection there is.

Children

This is a service for businesses. It is not directed at anyone under 13, and we do not knowingly collect their information.

Changes

If we change this policy we will update the effective date at the top of this page. Material changes will be announced by email to active clients.
